Privacy notice

This notice explains how Set to Build collects and uses personal information, and your rights. We collect as little as possible: you can use the checker without an account, and we don’t keep the notices you check, except for any part of a result you flag as wrong.
1. Who we are
Set to Build is run by Daniel Reader, trading as Set to Build, 6 Abbey Road, Elmswell, IP30 9ZH. We are the data controller for the personal information described in this notice. You can contact us at hello@settobuild.co.uk.
2. What we collect and why
Decision notices you check
When you upload or paste a planning decision notice, its text is sent to our AI provider to be read, and the summary is sent back to your browser. Decision notices often contain personal information, such as the names and addresses of applicants and agents, and the address of the site.
- Why: to produce the summary you asked for.
- Lawful basis: legitimate interests, namely providing a service you have chosen to use. Decision notices are public documents published on council planning registers.
- How long: we don’t store the notice or the summary. Our AI provider keeps the text for a limited period for safety and misuse monitoring, as described in section 4.
Please only check notices you have a legitimate reason to check, such as your own project or a client’s.
Your email address, if you ask us to contact you
If you ask to be told when project tracking is available, we keep your email address, whether you told us you are a professional, and which council your notice came from.
- Why: to tell you when the feature you asked about is ready, and to understand which councils to prioritise.
- Lawful basis: your consent. You can withdraw it at any time by emailing us.
- How long: until you withdraw consent, or 12 months after we contact you about the feature, whichever is sooner.
Results you flag as wrong
If you click “Is this wrong?” on a condition, we keep that condition’s wording from the notice, our summary of it, the council, the application reference and the type of notice, plus any comment you add. We use this only to find and fix mistakes. Planning references and condition wording are public information, but please don’t include personal details in your comment.
- Lawful basis: legitimate interests, namely making the service accurate.
- How long: up to 12 months.
Emails you send us
If you email us, we receive your email address, name and anything you include in your message, and we keep our replies.
- Why: to answer your question and keep a record of our correspondence.
- Lawful basis: legitimate interests, namely responding to people who contact us.
- How long: up to two years after our last contact, unless we need to keep it longer to deal with a complaint or legal matter.
How the site is used
We use Vercel Web Analytics to count visits, pages viewed, where visitors came from (such as a search engine), and actions such as checking a notice. It doesn’t use cookies, and it doesn’t identify you: visits are counted in a way that can’t be linked to you and resets each day. We also keep anonymous technical records, such as the type of notice checked and the number of conditions found. None of this includes names, addresses or notice text.
- Why: to understand how the service is used and to improve it.
- Lawful basis: legitimate interests, namely understanding how the service is used and keeping it working.
Technical information
Like all websites, our hosting provider processes your IP address to deliver pages to you and keeps it in its logs for a limited period. We also use it briefly to limit how many checks can be made in a short time, to prevent misuse. We don’t use it to identify you.
- Lawful basis: legitimate interests, namely security and preventing misuse.
3. Cookies
We don’t use cookies or similar technologies to track you, and we don’t use advertising or analytics cookies. Our visit statistics are cookie-free (see section 2). Our fonts are served from our own website, so visiting the site doesn’t send your details to a font provider. If this changes, we’ll update this notice and ask for your consent where the law requires it.
4. Who we share information with
We use these service providers, who process information on our behalf and under contract:
- Vercel hosts the website and provides our cookie-free visit statistics. Our server functions run in London, UK.
- Anthropic provides the AI that reads decision notices. Under its commercial terms, it doesn’t use the text we send to train its models, and it keeps it only for a limited period for safety and misuse monitoring.
- Supabase stores the list of people who ask us to contact them, and results flagged as wrong, in a database hosted in London, UK.
- Namecheap receives emails sent to our address and forwards them to our inbox.
- Google provides the email inbox where we read and keep correspondence.
- Resend sends the emails we write to you.
We don’t sell personal information, and we won’t share it with anyone else unless the law requires it. If we later offer introductions to specialists such as surveyors or consultants, we’ll only share your details when you ask us to, and we’ll update this notice first.
5. International transfers
Some of our providers are based in, or use systems or staff in, the United States or elsewhere outside the UK. Where personal information is transferred outside the UK, it is protected by safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework where the provider is certified, or the UK International Data Transfer Agreement or Addendum included in the provider’s data processing terms.
6. Automated processing
Summaries are produced automatically, using AI and our own rules. They are information to help you understand a notice. They don’t make decisions about you that have legal or similarly significant effects. Always check a summary against your original notice.
7. Your rights
Under UK data protection law, you have the right to:
- be told how your information is used (this notice);
- access the information we hold about you;
- have inaccurate information corrected;
- have your information deleted;
- restrict how we use it;
- object to our use of it where we rely on legitimate interests;
- receive a copy of information you gave us, in a portable format, where we rely on consent;
- withdraw your consent at any time, where we rely on it.
To use any of these rights, email hello@settobuild.co.uk. We’ll respond within one month. As we don’t keep notices you check, we usually hold no information about you unless you’ve signed up or emailed us.
8. Keeping information secure
Information is encrypted in transit, access to our systems is restricted, and we keep as little as possible for as short a time as possible.
9. Children
Set to Build is intended for adults and isn’t designed for children.
10. Complaints
If you’re unhappy with how we’ve handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
11. Changes to this notice
We’ll update this notice when how we use information changes. The date at the top shows the latest version.
